Overview

We are seeking a highly organized and detail-oriented Corporate Administrator to join our dynamic team. This role will be responsible for preparing and maintaining the organization's policies and procedures to ensure compliance with internal and external requirements and standards.

The ideal candidate will be a proactive individual with excellent communication skills, strong organizational abilities, and experience working in a corporate environment.

Responsibilities

Key Responsibilities:

  • Corporate Records Management:
  • Oversee the Corporate Records Management Program by maintaining corporate records, ensuring compliance with company policies, legal requirements, and industry standards.
  • Follows organizational policies and procedures to ensure a controlled documentation and record retention system.
  • Prepares required filings for approvals notification, and report data with clients or other government agencies.
  • Compiles, maintains, and organizes documents to ensure application, submission, and reports to ensure currentness and accessibility.
  • Maintains, records, and communicates technical and non-technical documentation changes.
  • Maintain the Corporate Asset Records Management Program to include tracking assets through the lifecycle.
  • Monitors asset lifecycles, inventories, locations, maintenance status, and costs. Establishes and maintains comprehensive records of each asset.
  • Coordinates processes and documentation required for new asset acquisition, disposal, replacement, and tracking of lost or stolen assets.
  • Works with vendors and cross-functional groups to maintain accurate and complete asset data.
  • Prepares and distributes comprehensive status reports.
  • Assist senior management with ensuring records management processes adhere to relevant laws, regulations, and best practices for data security and privacy.
  • Regularly audit records to ensure accuracy, completeness, and relevancy. Generate reports for senior management regarding records management compliance and effectiveness.
  • Maintain up-to-date records of legal, financial, and corporate agreements.

Project Support:

  • Assist in the coordination and management of corporate projects, ensuring deadlines and deliverables are met.
  • Maintain Corporate Project-Specific Training matrices.
  • Collaborate with other departments to streamline operations and improve internal workflows.

Working Conditions:

  • Office Based.
  • Full-time position, Monday to Friday.
  • Occasional travel may be required.

Qualifications

Required Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Management, or comparable field, or equivalency of education and experience with 5+ years' experience.
  • Ensured compliance with legal and regulatory requirements.
  • Strong proficiency with office software, including Microsoft Office Suite (Excel, Word, PowerPoint).
  • Excellent organizational, time-management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Detail-oriented with the ability to prioritize tasks effectively.

Preferred Qualifications:
• Experience with project management tools.
• Familiarity with corporate filing systems and record-keeping best practices.

Pay Range

USD $64,156.80 - USD $115,447.80 /Yr.
